This policy explains what information Xonicwave collects through xonicwave.com, how we use it, who we share it with, and the choices you have. The short version: we collect what we need to respond to you and run our business, we don't sell your personal information, and you can ask us to delete it.
1. Who we are
Xonicwave, Inc. ("Xonicwave," "we," "us") is a Delaware corporation headquartered at 3111 Camino Del Rio N #400, San Diego, CA 92108. We provide managed IT and cybersecurity services to businesses. This policy covers xonicwave.com and the forms, downloads and emails connected to it. It does not cover the data we manage for clients under a signed service agreement (see section 10).
2. Information we collect
Information you give us
- Free IT Bill Review: your name, work email, company, phone number (optional), team size and business location, plus any IT invoices you upload through the secure link we send you.
- Free guide downloads: your email address, so we can send you the download link.
- Booking a call: when you schedule through our calendar (provided by Calendly), the details you enter, such as your name, email, phone and notes.
- Refer & Earn: your contact details and the contact details of the business you refer. If you are paid a cash reward, we also collect what we need to pay you and meet tax rules, such as your mailing address, PayPal email and a completed IRS Form W-9.
- Contacting us: anything you include when you call, email or message us.
Information collected automatically
When you visit the site, we and our analytics providers collect technical information such as your IP address, browser and device type, pages viewed, the site that referred you, and the campaign link you arrived from (for example, UTM tags in an email or ad). See section 5 and our Cookie Policy.
Information from others
We may receive your business contact details from someone who refers you to us, from public business sources, or from professional networks such as LinkedIn.
3. How we use it
- To respond to you and deliver what you asked for: your bill review, assessment, guide or call.
- To prepare quotes and proposals, and to provide services if you become a client.
- To run the Refer & Earn program, including paying rewards and meeting tax reporting rules.
- To send you useful emails about IT and cybersecurity, which you can unsubscribe from at any time.
- To understand how the site is used and make it better.
- To protect the site, our clients and our business from fraud and abuse, and to meet legal obligations.
4. How we share it
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only:
- With service providers who help us run our business, such as website hosting, email delivery, scheduling (Calendly), customer relationship management, analytics (Google Analytics) and payment processing (PayPal). They may use it only to provide services to us.
- When the law requires it, or to protect the rights, safety and property of Xonicwave, our clients or others.
- In a business transfer, such as a merger or sale of our business, subject to this policy.
- With your permission.
Third-party sites we link to, such as Google, LinkedIn, Instagram, Facebook and YouTube, have their own privacy policies.
5. Cookies, analytics and Do Not Track
We use cookies and similar tools to keep the site working and, with your consent, to measure how it's used. You can accept or decline non-essential cookies in our cookie banner and change your choice at any time through "Cookie settings" in the site footer. Details are in our Cookie Policy.
Our analytics providers may collect information about your online activity over time and across different websites. Some browsers send a "Do Not Track" signal. Because there is no common standard for these signals, our site does not currently respond to them; use the cookie banner to control analytics instead.
6. Emails from us
Every marketing email we send includes our postal address and an unsubscribe link. You can also unsubscribe at xonicwave.com/unsubscribe or by emailing info@xonicwave.com. We process requests within two business days. We will still send messages needed for services you have requested. We do not send text messages.
7. How long we keep it
- Invoices uploaded for an IT Bill Review: deleted within 90 days after we complete your review, unless you become a client or ask us to keep them.
- Contact and inquiry details: up to three years after our last contact with you, unless you ask us to delete them sooner.
- Referral and tax records: as long as tax and accounting laws require.
- Unsubscribe requests: we keep your email address on our suppression list so we don't email you again.
8. How we protect it
We use administrative, technical and physical safeguards appropriate to the information, including encrypted connections (HTTPS), secure upload links, multi-factor authentication on our systems and access limited to the people who need it. No method of transmission or storage is completely secure, so we can't guarantee absolute security. Learn more on our Security page.
9. Your choices and rights
You can ask us to show you, correct or delete the personal information we hold about you by emailing info@xonicwave.com or calling (866) 844-9283. We will verify your request and respond within 30 days. We won't treat you differently for making a request.
California residents: under California's "Shine the Light" law, you may ask whether we share personal information with third parties for their own direct marketing. We do not.
Nevada residents: we do not sell covered information as defined by Nevada law. You may still submit a request that we not sell your information by emailing info@xonicwave.com.
10. Client data under our service agreements
When we manage IT systems for a client, the data we access on their behalf is governed by our Managed Services Agreement and, where applicable, a HIPAA Business Associate Agreement or Data Processing Addendum. This policy does not apply to that data. Clients should contact their account team with questions.
11. Children
Our site and services are for businesses. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
12. Changes and contact
We may update this policy. When we do, we'll change the "Last updated" date above, and for significant changes we'll post a notice on the site.
